Business formal vs business casual: what is the difference

Business formal means a full suit, shirt and leather shoes; business casual drops the jacket or tie. A comparison table and how to apply both to uniforms.

Business formal vs business casual: what is the difference

Business formal is full, traditional office dress: a suit or ladies' jacket matched in cloth to the trousers or skirt, a shirt, leather shoes and, for men, usually a tie. Business casual is still neat but lighter: the jacket or tie can go, replaced by a shirt or polo, tailored trousers and smart shoes or loafers. The core difference lies in how formal the outfit is and in the outer layer, not in whether it looks professional.

A quick comparison

Item Business formal Business casual
Outer layer Suit jacket matched to trousers or skirt Optional; or a blazer or waistcoat in different cloth
Shirt Long-sleeve, plain colour Shirt or polo, short sleeves allowed
Trousers, skirt Matching trousers or skirt Trousers or skirt, may differ in colour from the top
Tie Usually, for men Usually dropped
Shoes Dark leather shoes Simple dress shoes or loafers
Occasions Leadership meetings, signings, partner visits, major events Ordinary workdays, internal work

When to use which

  • Business formal: contract signings, board meetings, meetings with partners or regulators, important delegations and formal company events.
  • Business casual: ordinary workdays, internal team meetings, training sessions and days without outside visitors.

Many companies use both, by day or by role: people who host partners wear business formal, while internal teams wear business casual. The photo below shows a project Mon Amie Uniform completed with COSMO Academy.

Common misunderstandings

  • "Casual" does not mean weekend wear. Business casual still rules out large-print T-shirts, shorts and flip-flops.
  • Business formal for women is not one single look. A jacket with matching trousers or skirt, or with a shirt and skirt, is formal as long as the cloth and colour agree.
  • Dropping the jacket does not mean dropping the fit. A baggy or creased shirt or polo spoils the tidy impression business casual depends on.
  • Hot, humid weather: a jacket is still workable in breathable cloth with a light lining; hang it up at your desk and put it on for visitors.

Writing a dress code policy

An easy-to-follow policy has four parts:

  1. A name for each level (for example "formal" and "everyday") with a one-line description.
  2. Lists of what to wear and what to avoid at each level.
  3. When it applies: which days, roles and meetings.
  4. A named person to ask when staff are unsure.

The quickest way to get everyone dressed correctly is to tailor a shared uniform for each level, so nobody has to guess. Because fit decides how polished an outfit looks, it is worth weighing made-to-measure against standard sizes; our Vietnamese articles on this topic compare the two approaches.

Putting both levels into a company uniform

Real prices depend on fabric, style and quantity. Mon Amie publishes starting prices item by item: the formal set uses the men's business suits category (from 3,000,000 VND) or the women's business suits category (from 1,500,000 VND), with a shirt (men's from 600,000 VND, women's from 480,000 VND) and trousers or a skirt from 600,000 VND; the casual set uses a polo from 150,000 VND with trousers or a skirt from 600,000 VND.

Minimum quantities: suits and women's jackets from 5; shirts, trousers and skirts from 20; T-shirts and polos from 30. A company can order the formal set only for the team that hosts partners and for managers, while everyone wears the casual set day to day.

As for process, Mon Amie surveys your premises, offers three design options in your brand colours with real swatches, and makes an approved sample; production starts only after you sign off. Frequently asked questions

Can business casual include polo shirts?

Yes, if the polo is neat, fits well, suits the company palette and has a collar that holds its shape. State it in the policy so everyone reads it the same way. Uniform polos start from 150,000 VND, with a minimum of 30.

What does business formal include for women?

Usually a jacket matched in cloth to trousers or a skirt, a shirt and tidy shoes in a dark tone. A tie is not required. What counts is that the jacket's cloth and colour agree with the trousers or skirt.

Which level should a company choose for its uniform?

It depends on roles and who you work with. Teams hosting partners suit business formal; internal teams suit business casual. Many companies choose both and state clearly which days or occasions call for each.

Can we skip the jacket in hot weather?

Yes, as long as the policy allows it and the jacket is still worn for visitors. Choose breathable cloth and a light lining so the jacket is comfortable for longer.
